Tokyo-based K.C. DAT Japan Co., Ltd. specializes in international moving and relocation services. To streamline contract procedures such as moving application forms and agreements, the company implemented the electronic contract service SignTime. By digitizing workflows that were previously handled via email and paper, SignTime has enabled faster signature collection, reduced manual verification work, and improved overall operational efficiency. This case study highlights the reasons behind the implementation, practical usage of SignTime, and how the service supports both faster international moving operations and enhanced customer experience.

・Customers lacked printers or computers during moves. Printing, signing, and scanning contracts created delays and frustration.
・Turnaround times stretched from days to months. Some documents took up to two months to return.
・20% error rate in submitted forms. Missing or incorrect fields required resubmissions and extra staff time.
・Document tracking was inefficient. Managing a mix of paper and email made progress monitoring difficult.
・90% Faster Turnaround:Average completion time now 1–2 days, with some contracts finalized in as little as 10 minutes, down from up to 2 months previously.
・Mobile-First Signing: Customers can now sign directly from smartphones without needing a printer or computer—critical for those in transit during overseas relocations.
・Zero Missing Fields: Mandatory fields and guided templates reduced the 20% missing field rate to 0%, eliminating costly rework.
・Real-Time Visibility:Staff can track contract progress instantly, reducing administrative overhead and avoiding lost or delayed paperwork.
・Predictable Pricing:With SignTime’s Prime Plan ‘no hidden costs’ guarantee, K.C. DAT Japan can budget confidently, without worrying about unexpected fees or overages.
How were contracts and other forms handled before SignTime?
We sent contracts by email, and customers had to print, sign, and scan them back. Some returned within a week, but in many cases it took up to two months. Errors and missing information were common, and juggling both paper and digital documents made management cumbersome.
What prompted the move to e-signatures?
The biggest reason was mobile access. Many customers don’t have a printer or computer during an international move. Asking them to print or mail documents was a serious bottleneck. With SignTime, they can sign quickly and accurately from a smartphone.
Why did you choose SignTime among many services?
Bilingual capability was essential for us. With our headquarters in Singapore and many clients relocating internationally, documents often need to be handled in both English and Japanese. SignTime’s interface and signing flow are designed so that anyone, regardless of language, can follow the process without confusion. This enabled a smooth experience for our customers.
We also valued SignTime’s track record in international/overseas use cases. Many of our customers are signing contracts while overseas or in the middle of a move, and we needed a system proven to handle cross-border agreements reliably. That experience gave us confidence in adopting it for our relocation workflows.
Finally, SignTime’s pricing was another deciding factor. Competing services often had plans that were difficult to understand or included variable charges that made budgets unpredictable. In contrast, the Prime Plan comes with a clear ‘no hidden costs’ guarantee, which gave us the assurance to roll it out without concerns about overspending.
Were there challenges in adoption?
Yes, the biggest challenge was internal adoption. Some staff were very accustomed to the old paper-and-email process and were hesitant to change. There was concern that digital signing might be complicated or require extra training, and a few employees preferred the familiarity of manual paperwork.
To overcome this, we started small. We created pre-built templates for the most common documents and had a few teams test them. Once employees saw that the signing process was actually easier than before and that customers were completing contracts in minutes instead of days, skepticism quickly faded.
Gradually, more teams began using the system, and usage spread naturally across the company. In the end, the simplicity of SignTime proved itself. Staff who had once resisted now say they would never go back to the old method.
What benefits have you seen?
- Contracting times cut by 90% — from months to days or minutes.
- Real-time tracking replaced manual chasing of documents.
- Error rate dropped from 20% to zero.
- Mobile access improved convenience for customers under time pressure.
- Predictable pricing ensured budgeting confidence.
How did customers respond?
The reaction we hear most is: ‘It was surprisingly convenient.’ The fact that families can complete everything on a phone—even in transit—has impressed both clients and our staff.
What SignTime features do you find most helpful?
The feature we find most helpful is the template function. By setting up our most common contracts and application forms in advance, with clearly defined input fields, we prevent errors and save time on both sides. Customers know exactly where to sign, which means documents are returned complete and correct the first time.
We also see strong potential in the AI-powered alert function, which notifies us when additional action or follow-up may be required. This will help us manage contract renewals and ongoing agreements more proactively, avoid missed deadlines, and further streamline internal workflows.
What’s Next?
We’re currently focused on moving application forms and insurance. Next, we plan to digitize prohibited-items confirmation forms and other relocation documents, using SignTime templates and alerts to further reduce risk and streamline workflows.
