Integrate SignTime’s API with your IT and SaaS Systems

Like many cloud software as a service (SaaS) providers, SignTime’s leading e-signature and electronic contracting solutions can operate completely independently of a company’s IT system and provides its core functions, like secure cloud storage and retrieval, timestamping, tagging and e-signature systems in an Amazon Web Service cloud environment.
But what about if your firm needs to integrate some or all of SignTime’s key features into your IT or other third-party systems? Well, great news for SignTime clients – we can do that and more!
This month we will be featuring a number of SignTime clients that have integrated key aspects of SignTime’s solution offerings into core parts of their IT systems, to unleash innovation, drive digital transformation and improve both productivity and customer satisfaction.
Bulk Send and Templates: Saving Time and Money
Let’s start with one of our earlier case studies: Temple University Japan. SignTime’s Bulk Send or Simultaneous Send is an outstanding feature loved by many SignTime clients. While Bulk Send can be used purely in the cloud, Temple University’s Japan campus decided to completely remake how they managed their contracting practices and integrated Bulk Send and our template features to streamline their contracting practices. In the process, they saved tons of time and remade a process that was often painful and tedious.
In Temple’s previous environment, contracts were being sent to hundreds of people one at a time, making it very time-consuming to conclude contracts or to even know which contract had been signed and by whom. Different departments were sending their own contracts, and using a combination of Word, PDF, and other companies’ electronic contracting services. The work processes also varied significantly from department to department and did not easily accommodate telecommuting.
By integrating SignTime’s template functions, all departments were able to adopt standardized contracts for all students, employees and suppliers. And by integrating
Bulk Send, all contracts are able to be sent simultaneously, with the status of the contract viewed at a glance, to easily see who has completed the signature process. Automatic reminders and other features are turned on to automate the entire process.
Bring Your Own Cloud!
A number of our clients have invested heavily in building their own public or private cloud storage environments, with AWS, Azure, and Google being the most common. With SignTime, we can provide a bring your own cloud offering, where we can make “use your own cloud” a reality.
With simple but highly secure APIs built into our platform we make it easy to integrate SignTime. The customer still has all the benefits of the entire suite of SignTime functionality, further integrating our platform with their own cloud environment for storage and retrieval of documents.
E-signatures, CRM and ERP!
Many SignTime customers have integrated SignTime’s e-signature and electronic contracting platform with their customer relationship management and enterprise resource planning software. Let’s look at one of the most popular examples: Saleforce.com. Salesforce is the world’s most popular CRM system so it makes sense that many customers want to incorporate SignTime functionality to this critical software system.
With SignTime integrated with Salesforce, it’s simple to add the e-signature and electronic contracting process for all areas of the sales and customer support process, from forecasting, to customer bids, to final contracts and renewals.
An excellent example is KravMaga Japan KK, a martial arts company operating a sports gym (case study coming soon!) in Tokyo. They use Salesforce as their membership management system; by integrating Salesforce with SignTime, they’ve achieved the automation of all member processes from initial client registration to cancellations.
Real Estate Technology
Let’s look at another customer success story: Rease, Inc., a real estate technology firm in Japan that operates “smeta Cloud”, a SaaS cloud based rent guarantee and lease support system. Rent guarantees are commonplace in Japan and have traditionally required a lot of paperwork. A guarantor or co-signer (hoshonin 保証人 in Japanese), is a company or person that acts as the insurer for a person’s rental contract, promising to cover any rent or damage if a renter is unable to pay rent for any reason, or terminates their contract before term.
Prior to regulatory liberalization in 2022, the real estate industry in Japan required that many important documents be delivered via physical paper and executed with physical signatures. This meant that not only rent guarantee companies but also other companies in the process like agents and landlords, had to deal with the hassle of preparing a huge volume of documents, storage and paperwork management, and bear the costs of official registration stamps.
Rease has developed an amazing system that operates as a SaaS service for this entire rent guarantee process. Through the integration of “smeta cloud” and SignTime’s service, it’s now possible to complete everything from issuing contracts to sending electronic contract transactions, confirming electronic signatures, and storing contracts electronically, all in one place on the smeta cloud, saving clients an enormous amount of time compared to paper based processing.
SignTime supports third-party guarantors for areas like higher education, adult education, and real estate. It’s simple to assign guarantors to signers, and from there you won’t have to lift a finger. Signers provide contact information for guarantors, who automatically receive your document for easy signing. With just one step, you can add an extra layer of assurance to the signing process for all parties involved.
At Tokyo City University, by utilizing the guarantor function in the process of submitting the required pledge and guarantee documents during the admission procedure, they were able to reduce paperwork related to the preliminary verification of guarantor information – and their system automatically updates when any changes to information occur. The university has cut over 300 man hours out of their admissions process by implementing SignTime.
